Whose personal data do we process and how do we get this data? We process the personal data of everyone who has had direct or indirect contact with us, such as customers and contacts of partners. We get the data directly from you when you visit our website, request us to create an account for you, fill in certain information, or contact us. In some cases, we receive your data from others. When someone sends an order directly to you, we get your name and address details. We can also receive data from other parties, but only when you have given those parties permission to provide certain data to us.

Personal data we process: PSH Group processes your personal data because you use our services and/or because you provide this data to us. Below you will find which personal data we process, for what reason, and for how long they are kept.

Contact form: If you have a question or complaint, you can use the contact form on our website or in our webshop. We need some information from you here. Mandatory fields are name, email address, phone number, and country. We use this information to keep you informed about your question or complaint and to come up with an appropriate answer. By filling in the non-mandatory fields, we can give you a more targeted response regarding delivery to an exact address. After your question or complaint is handled, we keep the information as long as you have an account with us. If you do not have an account, we keep your question or complaint for 5 years. This way, we can serve you better if you need us again later.

Registration form: If you want to become a customer, we need some information from you, namely your company name, address details, phone number(s), email address(es), and possibly a fax number and website. If you are located in Europe, we also need a VAT number. We need this data to register you as a customer and to process a suitable offer and the eventual order. If no purchases have been made, you can ask us to delete your data. If a purchase has been made, we are legally required to keep details according to the statutory period.

Data for processing an order: When you place an order, we need certain data to deliver your order and keep you informed about your order. See the ‘Registration form’ section for details. If you want the shipment delivered to an address other than the one we have on file, you can indicate this in the order. We then ask for the following information: (company) name, address, and phone number of the recipient. This data is needed to deliver the order to the correct address and to possibly contact the recipient in case of delivery problems. We are legally required to keep this data according to the statutory period.

Handling payments and collections: To correctly process the payment of an order, we use your payment details. We receive this data through our bank during the payment. If you use direct debit, you have provided this data via the direct debit registration form. We are legally required to keep this data according to the statutory period.

Cores form: Both on our website and in our webshop, it is possible to register cores for pickup. This requires the following personal data: company name, address details, phone number, and email address. We need this data to arrange transport and possibly keep you informed about the pickup and handling. For accounting control and potential transport problems, we keep the cores form you filled in for 2 years.

Warranty/return form: If you fill in the warranty/return form in our webshop, the following personal data is requested: company name, contact person, address details, phone number, and email address. We need this data to arrange transport and possibly keep you informed about the pickup and handling. This form is processed by us as a warranty/return order to be able to create a credit invoice. We are legally required to keep this data according to the statutory period.

You agree with the conditions of the social media platform. If you ask us a question via social media, we keep that message and your account name so that we can respond to your message. After your question or complaint is handled, we keep the information as long as you have an account with us. If you do not have an account, we keep your question or complaint for 5 years. This way, we can serve you better if you need us again later. You can ask us to delete the message and you also have the option to do this yourself.

Data from customer surveys: We are continuously working to improve our services and better meet what customers want. Therefore, we may use your data (customer ID, email address, and/or phone number) to invite you to participate in a voluntary customer or market survey. Participation in a customer or market survey is entirely voluntary. You decide whether you want to participate in the survey. How long your data linked to the results of the customer or market survey is kept varies per survey. We delete all data traceable to you as soon as the survey is definitively completed.

Sharing personal data with third parties: We share your name, address, phone number, and email address with external service providers where necessary. These external service providers may only use your data to perform the relevant services. They are not allowed to use or pass on your data independently. PSH Group does not sell your data to third parties and only provides this if necessary for the execution of our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf, we conclude a processing agreement to ensure the same level of security and confidentiality of your data. PSH Group remains responsible for these processes.

The government: Sometimes we need to pass personal data to the government. This can first occur if certain government institutions need this data to perform their tasks, such as the Tax Authority. The police or judiciary may also need certain data in cases of fraud or abuse. Finally, certain regulators may access personal data during an investigation.
